Presently, Ajialouna is working on 16 projects that are taking place in the following departments:
At Ajialouna, the Boards of Trustees hold semi-annual meetings to establish and update a yearly strategy and plan for the Association. Afterwards, the president holds a meeting of the executive board for planning (all the volunteers) and disseminates the plan and strategy to them. At Ajialouna all planning starts at the office of the president under the Planning Committee. Division plans and department reports are also initiated and reported on by the Department Director to the Office of the President of the Association. However, each department has its own plan and strategy they all work according to their own self assigned mechanism while making sure they coordinate with the Office of the President of the Association in order to abide by the association’s yearly strategy. Each department director is responsible for their own projects initiation, feasibility and social impact and presents it to the president and the planning committee. If the planning committee concurs that a certain project that has the necessary socioeconomic impact, a proposal for the project is prepared in the relevant department and fundraising activities are initiated by contacting our network of contributors through a team of selected volunteers who also have access to the project proposal. As soon as the necessary funds are acquired, the execution of the project begins. One of the volunteer from the department is assigned as the manager of a project or another volunteer from outside the department who is capable of implementing the project will be chosen by the president and the planning committee. This Volunteer will have a job description and a mandatory schedule to attend at Ajialouna similar to a regular employee; she will be required to have the work plan for the project and implementation of it. She becomes responsible for the execution of the project as well as the periodical reports sent to the president. The proceeds of the project are usually distributed on one or more of Ajialouna’s Departments depending on its needs; usually Ajialouna’s president and the planning committee take the decisions which department to benefit. The President and a Planning Committee for such events will dictate the strategy and plans. The majority of these decisions are aimed at dividing event tasks into different sections and assigning the heads of these divisions. A general meeting between the president and the available volunteers is held to divide the workload into sections as appropriate for each event and assign the heads of these sections. The president and the committee then assign the head of section for the event. The head is responsible for all the decisions made in her section and assigns the available and capable volunteers for the various jobs that need to take place. The head is in constant contact with the Planning Committee and the Office of the President for directives and follows the plan of the events.
